Overview

Join our team at Civil & Environmental Consultants, Inc. (CEC) as an Administrative Assistant, in our St. Charles, Missouri office, where you'll play a vital role in our business operations in helping to keep our office running smoothly and efficiently. This position is more than just administrative support; it's about ensuring accuracy, professionalism, and a welcoming environment for our clients and team members alike. As the first point of contact for visitors and callers, you'll set the tone for our office by providing exceptional customer service. You'll also collaborate closely with the Office Operations Lead and Administrative Manager to support daily operations and contribute to organizational success.

What You'll Do

    Greet guests and answer phones with professionalism.
  • Prepare and reproduce documents, maintain electronic filing systems, and assist with quality assurance reviews for proposals, reports, and plans.
  • Coordinate meetings, office activities, and logistics for internal events, conferences, and training sessions.
  • Manage office supplies-ordering, stocking, and ensuring availability.
  • Support communication between corporate teams (accounting, operations, marketing, HR, IT) and local office staff.
  • Draft and review documents, providing suggestions for improvement.
  • Handle incoming and outgoing correspondence with accuracy and attention to detail.
  • Communicate effectively with clients in person, by phone, and in writing.


Qualifications

  • High School diploma required; B.A./B.S. in English, Marketing, Business, or related field a plus.
  • 2+ years' experience in an office environment.
  • Proficiency in Microsoft Office Suite and Adobe products.
  • Strong word processing and organizational skills.
  • Excellent written and verbal communication abilities.
  • Detail-oriented with strong problem-solving skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Comfortable working with technical professionals and anticipating workflow needs.
