Job Description

Position Summary:
The Executive Assistant to Student Health & Well-Being (SHWB) provides high-level administrative, project, and operational support to the Executive Director of SHWB and the Associate Director of the Wellness Resource Center (WRC). This position also serves as Office Manager for the WRC and provides administrative coordination for multiple SHWB programs and initiatives. The role requires strong organizational skills, discretion, initiative, and the ability to manage competing priorities in a fast-paced, student-centered environment.

Essential Duties and Responsibilities:

Executive Administrative Support

  • Provide comprehensive administrative and project support to the Executive Director of SHWB and Associate Director of the WRC.
  • Manage complex calendars, schedule meetings, reserve meeting spaces, and coordinate logistics using Outlook and related tools.
  • Prepare and support reports, presentations, agendas, minutes, and special projects, including editing and technical assistance.
  • Attend leadership and advisory meetings; take and distribute meeting minutes.
  • Coordinate all-staff meetings, including room reservations, refreshments, and A/V or presentation materials.
  • Maintain and publish SHWB organizational charts.
  • Support professional development, travel arrangements, reimbursements, and related payments.

Office Management (Wellness Resource Center)

  • Serve as Office Manager for the WRC, maintaining public and shared spaces.
  • Hire, train and supervise Front Desk Student Ambassadors and ensure front desk coverage during business hours.
  • Oversee daily office operations, including phones, visitor support, mail, and space reservations.
  • Assist with purchasing supplies and coordinating with central HR and finance offices.
  • Manage reports, spreadsheets, proposals, and administrative documentation, including governance and daily administration of Microsoft Teams, channels, and associated SharePoint sites for the WRC and SHWB

Program and Service Administration

  • Provide administrative support for SHWB intervention services, including scheduling student appointments, sending reminders, managing consent forms and records, and completing billing and charge reconciliation.
  • Coordinate SHWB outreach requests, connect presenters, monitor inventory, and assemble materials for programs.
  • Produce monthly outreach reports using Engage, Qualtrics, and related systems.
  • Coordinate maintenance and scheduling of SHWB golf carts.

Additional Program Support

  • Provide administrative support for affiliated programs and centers (e.g., RSVP Center, Missouri Partners in Prevention), including supply ordering, inventory tracking, facilitator materials, reimbursements, and acting as an on-campus contact for deliveries.
  • Serve as backup support for student workers and program operations as needed.

Search and Hiring Support

  • Assist SHWB leadership with recruitment and hiring processes.
  • Coordinate candidate travel, lodging, reimbursements, and compliance with university policies.
Shift

Monday - Friday

8:00 a.m. - 5:00 p.m.

This position may require evening and weekend hours supporting activities and programs within the department. Occasionally division and campus projects may require additional hours outside of your normal schedule.

Minimum Qualifications

Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

  • Demonstrated experience providing administrative or executive support in a complex organization.
  • Strong organizational, communication, and time-management skills.
  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and ability to learn university systems.
  • Ability to handle sensitive and confidential information with discretion.
  • Passion for health and well-being.
  • Experience in a higher education or student affairs setting.
  • Experience supervising student employees.
  • Familiarity with data systems such as Engage, Qualtrics, or similar platforms.
Anticipated Hiring Range

Range: $18.87 - $28.85 per hour
GGS/PAT Level: GGS 008
