Job Description

The office of Faculty Affairs and its major clinical affiliates administer a diverse portfolio of LCME and ACGME accredited training programs and support a broad range of research across multiple specialties. Faculty members are central to the success of these programs, and the Senior Business Support Specialist plays a key role in facilitating faculty onboarding, career development pathways, and ongoing academic support at all affiliated institutions.

Reporting within the Faculty Affairs Office, the Senior Business Support Specialist performs a broad range of independent, specialized administrative and operational duties in support of assigned departments across clinical affiliates sites and the UMKC organization.

This role operates within a high degrees of independence and professional judgment. Core work characteristics include:

  • Research and analyzes complex and atypical data; prepares comprehensive reports identifying key issues, trends, and patterns
  • Resolves routine and complex operational problems, generating innovative and effective solutions
  • Exercises independent judgment to modify work practices and processes in order to achieve objectives and improve organizational efficiency
  • Independently manages and completes assignments of varying scope and complexity with minimal supervision
  • Serves as an informal resource, mentor, and/or lead for less experienced team members

Admirative and Operational Responsibilities

  • Manage and coordinate the full spectrum of operational responsibilities for the School of Medicine Faculty Affairs Office
  • Oversee day-to-day office operations for the Faculty Affairs Department, ensuring efficient and effective workflow
  • Maintain accurate records and documentation in strict compliance with LCME, ACGME, and institutional requirements
  • Assist in the administration and maintenance of faculty affairs databases, including File-Maker, FAMOUS, and PeopleSoft
  • Coordinate appointment processes for faculty and staff requesting non-compensated education partner and guest affiliate status
  • Ensure compliance with LCME and ACGME standards within faculty affairs modules for the University, the school of medicine, and all clinical affiliates

Faculty Affairs Support

  • Provide comprehensive support to department coordinators, directors, and faculty throughout the initial academic appointment process and academic promotion reviews
  • Manage/coordinate Faculty Affairs-committee activities, including regular faculty promotion committee meetings, Non-Tenure Track Physician and Non-Physician promotion committee meetings, and faculty council , and meetings

Personnel and Communication

  • Serve as the primary liaison between the Faculty Affairs Office and cross-functional departments including Human Resources, Finance, and information and Technology
  • Respond professionally and in a timely manner to inquiries from faculty, departments coordinators, and external stakeholders.
Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience, plus a minimum of two (2) years of relevant experience from which comparable knowledge and skills have been developed, is required

Preferred Qualifications

  • Proficiency in Microsoft Excel, FileMaker, Microsoft Word, and Microsoft Outlook
  • Exceptional accuracy and strong attention to detail
  • Demonstrated ability to analyze complex information and develop effective solutions to problems
  • Ability to manage multiple priorities simultaneously and meet deadlines in a fast-paced environment
  • Proven project management skills with a track record of successful execution
  • Ability to collaborate effectively with diverse teams and cultivate productive professional relationships
  • Excellent written and verbal communication skills
Anticipated Hiring Range

The anticipated hiring range for this position has been established as $20,.00 - $23.00 per hour

Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
