- Type, revise and combine materials such as correspondence, reports, records, forms, meeting minutes, scientific or technical material, numerical data, and tabular information from rough draft, corrected copy or previous versions
- Proofread and edit documents for grammar, spelling, punctuation and format
- Provide administrative support for all staff, including, reception duties, answering and directing telephone calls, delivering messages, greeting employees and visitors, scheduling conference calls, and distributing incoming faxes and mail, submit daily safety attendance log, assist HR and finance as needed.
- Coordinate with building maintenance and coffee/vending machine supplier
- Maintain and stock print room, supply closet and kitchen supplies, huddle rooms, printer areas, mailroom
- Provide meeting setup and breakdown, schedule conference rooms, order meeting meals.
- Perform other duties as needed
Additional Responsibilities
- Cover the front desk (greeting guests/clients/answering phone)
- Organize and maintain Reception Area
- Maintain conference rooms
- Schedule conference rooms for meetings
- Order breakfast/lunch for meetings
- Coordinate with building maintenance and coffee/vending machine supplier
- Maintain supply closet and kitchen supplies, conference room, huddle rooms, printer areas, and mailroom
- Maintain print room and reload all printer areas
- Submit daily attendance
- Prepare workstations (packing boxes for ex-employees/getting workstations ready for new hires)
- Maintain stock of office supplies
- Support printing and word processing
- Assist HR (onboarding)
Mail
- UPS/USPS
- Outgoing mail/Postage refill
- Sorting and distribution of incoming mail
- Sorting and distribution of incoming faxes
Maintaining Kitchen/Cafe Stations
- Maintaining coffee distribution
- Sugar
- Cups
- Utensils (forks/spoons/knives)
Preferred Qualifications
- Associate degree
- Preference given to candidates currently located in the NJ-Area
Required Qualifications
- High School diploma or equivalent
- Excellent verbal and written communication including grammar, punctuation, proofreading, spelling and telephone skills
- Flexibility and ability to prioritize and handle multiple tasks and various managers in a fast-paced environment
- Self-motivated, well-organized and detail-oriented
- Ability to handle confidential information
- Proficiency with MS Office including Word and Outlook
- An attitude and commitment to being an active participant of our employee-owned culture is a must
