What you'll do and what you'll bring:

Position Function:

The Operations and Financial Specialist provides management of finance, contractual, human resources, and operations for the School of Nursing. In collaboration with the Director, this position provides comprehensive business administration to ensure effective budgeting, faculty workload allocation, policy development, and compliance with university and external requirements, and leads the management of SON contract processes.

Duties and Responsibilities:

1. In collaboration with the Director, provide financial management, including budgets and financial accounts, for the School for Nursing (SON) and the Nursing Alumni Society.This includes managing and coordinating travel and travel funds, scholarships awarded by SON, and supplies, equipment, and technology for the simulation laboratory.Conduct analyses and provide recommendations to the Director and SON leadership.

2. Lead and provide comprehensive management of the SON contract processes. Communicate with Business and Auxiliary Services, the Office of General Counsel, Director of Risk Management and clinical agencies regarding new and existing contracts to ensure favorable terms and risk mitigation for SON.

3. Work with the Director and Program Directors to review and draft School or Nursing policies and liaise with the Office of General Counsel regarding new and updated policies and procedures.

4. Manage records, reports, and data for the school, including committee minutes, correspondence, handbooks, newsletters, budget data, annual faculty and departmental reports, and other SON records.Assist the Director and Program Directors in compiling data for internal and external reports as needed.

5. Collaborate with the Director to manage SON human resources functions, which includes submitting job requisitions, facilitating candidate reviews, coordinating interviews, and initiating offer proposals in Workday, coordinate the school's onboarding for new hires, maintain personnel files, and faulty health clearance and compliance.

6. Collaborate with the Director, Program Directors, faculty, NSITC personnel and college Schedule Specialist to design semester schedules, faculty workload, and allocate instructional and non-instructional FTEs.Ensure congruence among interrelated course and faculty date and compliance with university course and workload policy.Review and amend faculty workload reports.

7. Manage data integration of vendor provided systems (Banner, FLAC, IOTA, Canvas, CORE, American Databank) and ensure SON-related congruence with university systems.Consult with the Office of Information Technology and NSITC team on data security and vendor and solution selection.

8. Maintain department infrastructure (phones, copiers, keys, office supplies, furniture, promotional items), allocate office space, submit maintenance requests, and maintain SON administrative office space. Oversee the receipt prioritization, and distribution of mail, packages, and departmental email account.

10. Supervise student employees; coordinate hiring, delegate, oversee, and evaluate student employee work.

11. Perform other related duties as assigned.

12. Maintain regular and predictable attendance.

Minimum Qualifications:

  • Bachelor's degree or equivalent
  • At least three years of related experience
  • Customer service experience
  • Excellent communication skills
  • Working knowledge of database and spreadsheet software

Preferred Qualifications:

  • Master's degree
  • Supervisory experience
