Job Description

The Chancellor's Office is seeking qualified applicants for an Event Coordinator position that reports to the Chief of Staff and serves as an extended member of the UMKC Special Events team.

Summary of Duties:

Reporting directly to the Chief of Staff (with a dotted line to the Executive Director of Special Events and Conference Services), the Chancellor's Office Event Coordinator position provides event and administrative support for the Office of the Chancellor in a wide variety of areas including: event management and support, scheduling, office support functions, and coordination of activities. This position will work collaboratively with both the Chancellors' office team and the university's special events team.

Responsibilities:

  • Manage and support special events at the Chancellor's home and at the on-campus private dining room.
  • Provide support for special events including compiling invitation list, sending invitations, setting up event space, maintaining attendee list and name tags, tear down of event, and other duties related to events as needed. Some evenings and weekends will be required.
  • Provide support for UMKC Signature Events (large-scale university events), including event registration support, such as tracking table sponsors, guest information, etc.
  • Prepares documents related to and leads meetings about the Chancellor's event commitments and speaking engagements. Manges the intake process to closure for speaking engagements.
  • Provide administrative support on projects and programs, committees, task forces, events, and other processes/projects. Preparing materials for meetings, scheduling of meeting rooms, sending meeting reminders, and providing material prep for meetings.
  • Act as a liaison to the Chancellor's guests for special events, meeting, greeting, and escorting them to designated locations on behalf of the Chancellor.
  • Provide back-up responsibilities for the Senior Executive Assistant for the Chancellor and the Senior Executive Assistant for the Provost as needed.
  • Schedule meetings, arrange travel and logistics.
  • Be responsible for Office of the Chancellor reimbursements of travel/other expenses.
  • Complete regular office management duties.
  • Greet guests who visit the Chancellor's Office and answer phone calls.
  • Other duties as assigned.

Skills, Knowledge, and Abilities:

  • Excellent communication and interpersonal skills for effectively dealing with a broad range of individuals at various levels within an organization.
  • Administrative experience with abilities to set priorities, organize, and coordinate on office operation, anticipate needs, work under the pressure of deadlines and exercise good judgment, particularly with sensitive or confidential matters.
  • Strong analytical and problem-solving skills and ability to cope with change and ambiguity in a fast-paced executive-level office environment.
  • Strong self-motivation skills for independently establishing effective working relationships with various organizations and faculty and staff at all levels of the organization and demonstrated ability to work as a member of a team.
  • Demonstrated ability to work with confidential materials and information.
  • Demonstrated ability to produce excellent work under short timelines, attention to detail is required. \
  • Demonstrated ability and comfort with multitasking.
Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.

  • Demonstrated success in file management, organization, and archiving records in a complex organization Computer and technology proficient (Outlook, OneNote, PowerPoint, Excel, Word, Adobe Acrobat). Willingness to learn new technologies and processes.
Anticipated Hiring Range

The anticipated hiring range for this position has been established as starting at $52,917.

Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
