Patricia Brown: LMS/Dealer Billing Specialist and State Licensing Administration


State Licensing Administration



  • Maintain Distributor and Manufacturer Authorized Franchise Dealer Licenses for the FCA US, LLC and Maserati North America, Inc.
  • Maintain Manufacturer/Distributor Representative State Licensing requirements for all FCA USA, LLC franchises and Maserati North America, Inc.
  • Manage workflow of licensing requirements to comply with state regulation
  • Ongoing updates of state records with corporate organizational changes
  • Assist Business Centers, Proving Grounds and Factories with plate and tag requirements
  • Manage payments for licenses, permits and other related fees
  • Respond to licensing related inquiries from internal staff and regulatory bodies
  • Ensure compliance with licensing requirements as mandated by individual state regulations
  • Oversee and assist with the completion of applications, documents and other requirements, including obtaining Officer signatures and the notarization of documents
  • Maintain Surety Bonds and Liability Insurance Certificates, as required by states
  • Record retention per corporate guidelines
  • Notary Public - State of Michigan Notary Public


Market Representation Budget Administration



  • Maintain / track and report on Market Representation department budget with revenue / recovery offset of from various dealer funded sources
  • Process Purchase Orders and Purchase Requisitions in PentaSap
  • Assemble requirements and manage approvals
  • Respond to stakeholder status inquiries
  • Manage supplier (addition / deletion / edits) information within purchasing system
  • Process supplier invoices
  • Record Retention of certificates, policies, and supporting documentation per corporate guidelines


Dealer Training Billing Administration



  • Manage all training-related subscription programs both in the LearnShare system and the FCA Performance Institute Learning Management System
  • Review, confirm accuracy and distribute course and subscription billing reports
  • Perform manual credit/debit billing transactions for course and subscription
  • Perform monthly reconciliation of final course and subscription billings
  • Maintain multiple supporting reports for FCA Performance Institute Finance Manager
  • Troubleshoot and reconcile billing discrepancies
  • Troubleshoot issues with the LearnShare system
  • Respond to all billing inquiries and support changes for the Performance Institute
  • Create annual subscription and course billing calendar
  • Manage updates to the current year Dealer Billing Rules
  • Process all dealer subscription enrollments and terminations
  • Record retention of subscription enrollment forms per corporate guidelines utilizing eDap and DNAMS


Performance Institute Help Desk Support Specialist



  • Troubleshoot Performance Institute Dealer Training escalations to the point of resolution, not limited to Sales, Service and Parts, Technical Training, Supplier, Maserati, OS+, iShowroom, Billing and Technical Support
  • Consult with Performance Institute Learning Center, Corporate, Maserati, Suppliers and Vendors to identify and resolve customer issues
  • Update and publish hotline Standard Paragraphs used by Agents in assisting callers
  • Monitor inbound/outbound calls daily
  • Participate in Weekly Operations meeting with hotline staff
  • Coordinate and monitor exclusive outbound call projects
  • On call during all FCA Performance Instituted holiday closings to support trainers and hotline staff
  • Educate hotline staff on program updates, changes and modifications to rules, programs or functionality of LMS


LMS Operations Learning Management System (LMS) Administrator



  • Assigned Setup Administrator application capabilities
  • Monitor the LMS daily to ensure the system is up and running as designed
  • Verify data integrity, report discrepancies, and oversee modifications
  • Act as liaison between LMS Operations, Performance Institute, Customer Support Help Desk and ICT to report system issues to the point of resolution
  • User Acceptance Testing (UAT) on modifications/enhancement introduced into the LMS
  • Create and maintain new subscription programs in the LMS
  • Assist with web-based course content delivery
  • Maintain Training Locales

Requirements

Basic Qualifications:



  • Bachelor's Degree
  • 5+ Year Experience in Learning Management System (LMS) administration, including but not limited to course and subscription billing
  • Paralegal or course work towards Paralegal a plus
  • Public Notary (MI) required
  • Knowledge of CSOD LMS System
  • Knowledge of Accounting methods and general GL posting
  • Knowledge of SAP requisition system
