Job Description

The person in this role support services included but not limited to time administration, work management, accounting practices, records documentation, operations and administrative responsibilities as defined by the overall function of a business unit. Works independently and is knowledgeable of organizational business needs and interaction with departments company-wide, coordinating internally and externally to facilitate workflow.

Job Responsibilities

  • Perform time administration requiring an understanding of FERC Account Coding Standards, corporate policies, and labor contracts. Audit time entry for accuracy and identify discrepancies; all time corrections are performed by the employee per Company policy. Assist personnel with reconciliation of pay discrepancies.
  • Process invoices and bills using Company systems and procedures; research, resolve, and assist Accounting with discrepancies as required.
  • Prepare journal entries and perform accounting reconciliations as required. Conduct recordkeeping activities including P-card reconciliation where applicable.
  • Enter leak tickets and process work requests using Company systems.
  • Generate, process, validate, and complete service orders, work orders, work charges, and damage claim documentation; review damage claims for accuracy and completeness.
  • Perform shipping and receiving functions; research receipts for incoming materials and resolve receiving exceptions.
  • Process customer tags and verify required versus optional letter designation and correct box completion.
  • Audit gas completion form comments to ensure accuracy and completeness; identify anomalies (e.g., SH00 task types or customer referrals) and communicate findings to Inspectors and Supervisors.
  • Verify field submission of EPCR and/or EPPR cards for STW and PE pipe inspections.
  • Audit DVIRs, vehicle inspections, and breathing air inspections; file and retain documentation in accordance with Company and regulatory requirements.
  • Process, audit, and verify MTT documentation including forms, D4 cards, and locational accuracy using the LocusView web application.
  • Ensure D4 cards are accurately completed and mailed to MRT in accordance with procedures.
  • Issue Good-to-Go passes for spare vehicles and maintain related documentation.
  • Answer base gate/door, provide reception services, meet with vendors onsite, and coordinate administrative support activities.
  • Maintain records, files, and inspection documentation in compliance with State, Federal, and Company standards.
  • Replace batteries in all base AEDs every two years or as furnished by the Safety Department.
  • Operate computers, office equipment, and communication devices as required to perform assigned duties.
  • May provide training or guidance on administrative processes and performs similar and incidental administrative duties as assigned.

Minimum Qualifications

Education: Previous minimum education and training should include successful completion of high school studies or GED certification as well as two quarters of higher education in accounting, bookkeeping, business applications, communications, drafting, or its equivalent in experience and/or education as determined by the hiring Manager.



Demonstrated proficiency at touch typing required.



Experience: Previous job experience should include the equivalent of one to two years of office experience with demonstrated ability to communicate effectively and multi-task despite frequent interruptions. Must possess the ability to research resources and precedents to perform varied tasks with minimum guidance. Must be self-motivated to perform under limited supervision.



Approximately two years on the job are required before all the position's duties and responsibilities are performed without day-to-day assistance.



Responsibility: The position is responsible for performing accounting, administrative duties and supporting the business operations with an emphasis on data integrity while meeting multiple deadlines. Specific duties and responsibilities are outlined above.



The position may be responsible for advising, training and/or mentoring other employees to facilitate coordination of workflow.



Complies with all State and Federal regulations as well as Company policies, practices and procedures as applicable to the job.


Additional Information

Supervision: This position does not supervise other employees.



External Contacts: Frequent interaction with contractors, public agencies, service centers, vendors, and other Company departments to gather, provide, and explain information.



Job Conditions and Physical Efforts: Duties are performed primarily in an office environment and may include time in outdoor or operational settings. Physical activities may include sitting, standing, walking, lifting, bending, reaching, kneeling, climbing, and keyboarding.



May require irregular work schedules, overtime, and availability for emergency response. A valid Washington State Driver's License may be required.

The pay range for this position is$31.12-$40.94, and this position is eligible for annual goals based incentive bonuses.
