SUMMARY OF POSITION

The Intellectual Property Paralegal is responsible for providing legal administrative assistance to the Legal Services team for managing Shurtape's intellectual property portfolio, including trademarks, patents, trade secrets and copyrights. This role supports routine IP prosecution and portfolio administration, assists with preliminary trademark and patent clearance searches, supports invention disclosure intake and tracking, and helps maintain trade secret protection practices. This position requires the ability to accomplish tasks with a sense of urgency while maintaining meticulous attention to detail and effectively manage internal and external relationships and legal resources with a collaborative and solutions-based approach.



ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Intellectual Property Administrative Support:



  • Assist with preparing, filing, and supporting domestic and international trademark and patent matters.
  • Maintain IP systems, databases, calendars, and document records.
  • Track deadlines, renewals, maintenance fees, and reporting dates.
  • Keep organized records of registrations, applications, assignments, licenses, and related documents.


Trademark and Patent Clearance Support:



  • Assist internal teams with forms and required materials for initiating patent and trademarks searches.
  • Perform basic trademark searches (USPTO, common law, internet).
  • Support initial patent searches using public databases.
  • Summarize clearance results for internal teams and outside counsel review.
  • Monitor trademark use and collect specimens or product details.


Trade Secret Support:



  • Help maintain trade secret inventories and documentation.
  • Aid in implementing confidentiality practices and access controls.
  • Gather information on trade secret protection from internal teams and outside counsel.


Invention Disclosure Support:



  • Manage intake and status tracking of invention disclosures.
  • Assist inventors with forms and required materials.
  • Maintain logs and track review milestones.
  • Coordinate review and follow-up with relevant teams and outside counsel.
  • Organize disclosure materials for patent filings and evaluations.


Track inventor acknowledgments and assignment obligations.

Qualifications

QUALIFICATIONS

JOB REQUIREMENTS



  • Paralegal certificate or associate degree in paralegal studies is required.
  • 2+ years of experience as a paralegal with in-house legal department experience in the areas of law listed.
  • Familiarity with USPTO databases and basic clearance searching.
  • Experience supporting trade secret protection efforts or internal compliance initiatives.
  • Ability to develop and maintain effective and collaborative professional relationships with internal and external parties, including legal, business, and creative personnel.
  • Support and communicate effectively with personnel at all levels of seniority and experience to provide friendly services.
  • Ability to maintain confidentiality, and to exercise discretion and good judgment.
  • Must have excellent analytical and problem-solving skills with a focus on providing solutions-based and mutually agreeable alternative solutions.
  • Detail oriented, motivated, confident, and approachable, completes work with a sense of urgency.
  • Working knowledge using database software programs and document management system software.
  • Proficient computer skills using Microsoft Office (Word, PowerPoint, Excel, Outlook, and SharePoint).



PHYSICAL DEMANDS

  • Ability to work in front of a laptop or PC workstation for extended periods of time
  • Occasional standing, sitting, walking, and talking on the phone


WORK ENVIRONMENT

This is a fast-paced work environment with consistent pressure to complete duties as outlined above which requires ability to manage multiple projects at a detailed level and provide support to many internal departments in a fast-changing environment. Many duties listed above are time-sensitive and have strict deadlines for completion.
