Job Title: Lab/Pharmacy Relocation Project Manager

Location(s): San Francisco, CA
(Hybrid: 1-2 days per week based on project need)

Position Overview
A leading academic healthcare organization is seeking an experienced Technical Project Manager to lead the application planning, coordination, and implementation efforts associated with the consolidation of laboratory operations into a new centralized laboratory facility. This is an enterprise-wide initiative focused on laboratory systems, operational readiness, workflow transformation, automation integration, and technology deployment rather than construction management.

The Project Manager will oversee complex cross-functional initiatives involving laboratory operations, IT infrastructure, laboratory information systems, Epic application implementation, workflow redesign, regulatory compliance, organizational change management, and stakeholder engagement. The role requires close collaboration with executive leadership, clinical teams, IT departments, laboratory operations, and third-party vendors to ensure successful project execution and operational activation.

Two project tracks are anticipated:

  • Laboratory Systems (Epic Beaker)
  • Pharmacy Systems (Epic Willow)

Candidates should possess significant experience leading Epic Beaker and/or Epic Willow implementation, optimization, or build projects.

Key Responsibilities
Project Leadership & Delivery

  • Lead large-scale healthcare technology initiatives from planning through execution and go-live.
  • Establish project governance, reporting structures, communication plans, and escalation pathways.
  • Develop and maintain project schedules, milestones, budgets, and resource plans.
  • Coordinate cross-functional teams to ensure successful project delivery.
  • Manage project scope, requirements, risks, dependencies, and issue resolution.

Stakeholder & Vendor Management

  • Partner with executive leadership, operational leaders, clinical stakeholders, IT teams, and external vendors.
  • Facilitate alignment across diverse stakeholder groups.
  • Manage vendor relationships and ensure accountability for deliverables.
  • Present project status, risks, and recommendations to senior leadership.

Risk & Change Management

  • Identify project risks and develop mitigation and contingency plans.
  • Lead organizational change management and operational readiness activities.
  • Support transition planning and activation efforts.
  • Drive issue resolution for complex operational and technical challenges.

Program Oversight

  • Monitor project performance against established goals and metrics.
  • Ensure compliance with organizational standards and regulatory requirements.
  • Support enterprise technology strategy and long-term operational objectives.
  • Oversee multiple concurrent initiatives while maintaining delivery quality.

Required Qualifications

  • Epic Project Management experience required.
  • 5-7 years of project management experience.
  • Minimum 2 years of healthcare industry experience.
  • Experience managing technology-related initiatives.
  • Strong leadership, negotiation, facilitation, and problem-solving skills.
  • Experience managing project budgets, schedules, resources, and performance metrics.
  • Ability to anticipate obstacles and implement contingency strategies.
  • Strong organizational, prioritization, and communication skills.
  • Experience leading technical and cross-functional teams.
  • Ability to align project execution with organizational business objectives.
  • Bachelor's degree in a related field or equivalent combination of education and experience.

Preferred Qualifications

  • Experience with Epic applications, particularly Beaker and/or Willow.
  • PMP Certification.
  • Epic Certification in Clinical or Revenue Cycle applications.
  • Knowledge of computing infrastructure, networking, software operations, and disaster recovery practices.
