Position Summary
The Associate Director is vital to successful coordination and delivery of the Music Business Certificate program within the Terry College of Business. This position manages and coordinates all student and classroom delivery functions from the application process to alumni tracking. This position contributes to major decisions about the overall direction of the program, in terms of both class curriculum and outside activities. This position also requires an in-depth knowledge of both the music industry itself, and of industry-related education programs.

  • Ability to communicate clearly and effectively with students, faculty, staff and outside music industry professionals and artists.
  • Extensive knowledge of the music business industry.
  • Proficient in technology graphic design skills.

Direct Involvement with Major Decisions Regarding the Direction of the Music Business Program:

  • Provide advanced knowledge to the director for all aspects of the Music Business Program.
  • Assist in the evaluation of program performance, curriculum, outside activities, and overall program direction.

Curriculum Administration

  • Access PARC system to update MBUS curriculum changes as needed
  • Access CAPA system to update MBUS syllabi changes as needed
  • Complete Student Learning Outcomes (SLOs) forms as needed
  • Create and complete low-enrollment forms for applicable classes in fall/spring semester
  • Data Tracking

    • Track student application data for Terry College (applications, admission, GPA)
    • Track alumni to create a percentage of how many people are working in the industry
    • Analyze employment in music business industry through percentage metrics
    • Prepare reports for program committee/accrediation committee/annual program review purposes, etc.



  • Classroom Scheduling

    • Upload all MBUS classes to Banner in both fall/spring semesters by Terry Optimization deadline
    • After classrooms are assigned by UGA, double-check that all MBUS classes have a classroom on campus
    • Coordinate with UGA Registrar for any issues with UGA campus classroom assignments
    • Coordinate with Terry Facilites Department for any issues with Terry classrooms or crisis management of classrooms


  • Scholarship Admin

    • Oversee fund allocation management between development, business office and students.
    • Coordinate with Terry business office to ensure the correct fund (ex. Bruce Birch Fund, Student Opportunity Fund) is being used to cut a check to MBUS students who were awarded a MBUS scholarship for their summer internship
    • Collect students name, their scholarship amount, UGA ID to give to business office for processing checks
    • Communicate with students on scholarship information so they can write a hand-written thank you note and send to the correct address

PR & Marketing

  • Graphics

    • Make graphics in Canva for all events to include event information and location information (day, time, room location, event title, speaker name, speaker bio, etc.)
    • Make graphics in Canva for MBUS classes, electives, application information/deadlines for promotion



  • Merchandise

    • Keep merch up to date and in stock in MBUS office
    • Order mugs, buttons, stickers, tumblers, postcards through OMC
    • Oversee process if merch needs to go through UGA Branding for approval


  • Social Media

    • Manage MBUS Instagram and LinkedIn accounts sharing MBUS events, student events, student spotlights, MBUS classes, MBUS application information, etc.
    • Update UGA calendar with MBUS events
    • Create and post videos, reels, graphics on channels
    • Share student DMs on stories/posts to help promote their shows, projects, etc.
    • Work with Administrative Assistant/Office Manager to create and post Student Spotlights on Instagram and in newsletter. Oversee the write up, double-checking for grammar and clarity


  • Newsletter

    • Create and send out weekly "This week in MBUS" newsletter in Mailchimp
    • Collect assets from newsletter from MBUS staff/faculty and students
    • Build newsletter in Mailchimp and schedule to send newsletter to MBUS listserv


  • Listerv

    • Manage current student listservs and alumni listserv
    • Send out job opportunities on alumni listserv
    • Send out newsletter/internships/job opportunities on student listserv
    • Update listserv each year to include new incoming students and new alumni



  • MBUS Marketing Materials

    • Update MBUS Brochures and FAQ sheets every few years
    • Order and re-order materials through OMC to make sure office is stocked

Duties/Responsibilities
Events

  • Plan and oversee MBUS Graduation every spring semester

    • Coordinate a contract between the Georgia Theatre and Zero Mile
    • Liason between UGA Procurement office and Zero Mile to ensure contact is signed and check is mailed to Georgia Theatre before event
    • Order chair, table and podium rentals through Barron's
    • Order tablecloths, Terry signage through Terry Special Events Office
    • Book time Barron's for delivery and pick up of all rentals
    • Work with Georgia Theatre staff to ensure lighting, sound, bar management of ceremony
    • Organize MBUS certificates to give to students at the graduation ceremony
    • Double-check all graduates in ATHENA
    • Order proofs of certificates through OMC, making sure all certificates have students first name, middle name, last name
    • Order proofs of certificates for George Fontaine Leadership Award Winners
    • Order padded certificate holders from OMC which certificates will be placed in
    • Order May and December student certificates (will mail December students in fall after fall graduation)
    • Order programs through OMC and update information to include guest speakers name, all May graduates, and MBUS faculty/staff, and information on time/place. Print them through Bulldawg Print
    • Order development inserts that include QR codes tied to MBUS linktree so people can access to give money or learn about summer MBUS alumni events
    • Pack up and organize certificates to be placed on stage at Georgia Theatre
    • Create save the date graphic in Canva and send to students to send to their parents with graduation information (day, time, location)
    • Email students RSVP form for graduation and information on what to wear, including pictures of previous years as reference
    • Manage RSVP list and create order for Barron's based off RSVPs
    • Create save the date graphic and send to MBUS faculty/staff
    • Email MBUS students about volunteering at MBUS graduation ceremony, sending RSVP form and coordinating with students on shifts needed help with and arrival/departure times
    • Create sheet for day of graduation that include students names, alphabetically, to be read on stage
    • Organize people day of ceremony to help ensure a smooth event. Making sure there's one person at the bar, one person in the wings to release students to the stage, one person releasing people from their rows, making sure all students stop by and get their photo taken by GradImages




  • MBUS Talks

    • Check Google Calendar and MBUS 4100/5100 course outline to get speaker name/title/date information to promote to students
    • Locate email of guest speaker to communicate with about MBUS Talk day/time/location/parking information
    • Gather guest speaker(s) name, title, and bio to create graphic in Canva
    • Post on social media channels and UGA calendar
    • Create Zoom link if online MBUS Talk
      • For online MBUS Talks, pull attendance report from Zoom for MBUS TA to input

    • Secure MBUS Lab for event, booking time on MBUS Lab Calendar
    • Send out event graphics/information on MBUS and UGA listservs
    • Set up the room for the day of the event, pulling in red speaker chairs, MBUS signage, and 30+ chairs for students
    • Bring attendance sheets for students to sign and receive class credit
    • Take photos and videos of event and post on MBUS social media channels
    • Set up MBUS lab screens/sound if requested by speaker, coordinating the video/audio assets ahead of time and asking production TA for help if needed
    • Clean the room after the event
    • Communicate with development on speaker schedule
    • If guest speaker is scheduled with enough advance, alert OMC for journalism opportunities (photo, video, article, social media coverage, etc.)


  • General Events

    • Find and book a room through Terry Facilities for day/time of event
    • Make graphic in Canva that includes event information and location
    • Promote event by sending graphic university wide (ex. Terry College, Hugh Hodgson, Grady College, etc.)
    • Order catering for event
    • Set up room for event with chairs and tables necessary, bring MBUS merch for promotion
    • Plan Mixer at 40Watt/Nuci's Space for MBUS students and staff to attend


  • Student Career Fair

    • Coordinate with the student to execute the career fair
    • Reserve Stelling Study event space through Terry Facilities
    • Set up room day of with tablecloths, tables, extra water and coffee for guests

  • Manage alumni listserv by coordinating with alumni to get their job postings sent out to MBUS network
  • Update internal MBUS alumni spreadsheet with up-to-date information on their current job title and city, tracking alumnus who are working in the music business
  • Meet with alumni to go over resume and cover letter critiques
  • Manage MBUS Discord channel
  • Plan summer MBUS alumni events in Atlanta, Nashville, New York City, Los Angeles (more cities to come)

    • Make a reservation at local venue to host alumni event, coordinating with alums in the city on good locations/days/times
    • Create graphic for event after gathering meeting place, time
    • Promote event by posting on social media channels, alumni listserv
    • Create RSVP form and send to alums
    • Bring MBUS merch to events (stickers, buttons, pins, etc.)
    • Work with OMC to create location specific merch for events
    • Book travel and reimbursement through business office
    • Capture photo and videos of events for Development use and posting on MBUS social channels



  • Promote giveaways on social media channels - coordinating with alums on assets and materials and picking a giveaway winner, and getting them the prize information
  • Add graduating students to GAIL for development tracking
    • Tagging their involvement as "MBUS"

  • Assign MBUSA to table Terry events to promote MBUS certificate to students (Terry Majors Fair, Terry Orientation, etc.)

  • Liaison between MBUSA and business office to access funds for use
  • Give access to MBUS social accounts so they can promote their club and events
