Job Summary

The Department of Anesthesia and Pain Medicine is one of the largest departments in the School of Medicine with an annual budget of $42 million. The Department is currently organized across five locations: UCD Medical Center, Lawrence J. Ellison Ambulatory Care Center (ACC), UC Comprehensive Cancer Center, Otolaryngology (ENT) Glassrock facility, and at the UC Davis Spine Center; providing service to 40 plus operating suites each day and over 28,000 anesthetics annually. Funding includes state, endowment opportunity, indirect cost return, reserves, summer sessions, service enterprises, educational sales and service, and self-supporting activity. The Department is comprised of 200 plus staff, which include faculty, residents and fellows, nurse anesthetists, and administrative support staff. The missions of the Department include: clinical, education, research, and community outreach (public service). Many of these duties were once housed in Academic Affairs Office (SOM Deans Office) and UCDHS HR Records Administration and have been delegated to the department. Duties include but are not limited to: new hire input, academic faculty funding changes, terminations of academic and staff positions. This position is also responsible for faculty recruitment, billing packets, credentialing and privileging, appointment and continuing personnel input forms and their payroll and leave administration.

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • Two years' experience providing administrative support, or an equivalent combination of education and experience.
  • Analytical skills to effectively comprehend large amounts of complex medical, administrative and fiscal information; and ability to absorb such information to make timely and thoughtful decisions.
  • Planning skills to analyze administrative/program goals and objectives given the current and potential health care trends to make accurate short and long term projections.
  • Excellent organizational skills to determine workload priorities to enable timely completion of tasks. Work effectively and independently under pressure with minimum directions.
  • Ability to work with several co-existent deadlines and rapid-changing priorities.
  • Strong leadership and management skills to provide planning, coordination and direction to HR/Payroll and other department staff and to propose innovative solutions to management problems.
  • Personnel management skills to include developing position descriptions, recruiting, interviewing, selecting, training, evaluating and disciplining others. Ability to deal with highly confidential office personnel matters. Knowledge of appropriate academic/staff personnel policies and procedures.
  • Excellent interpersonal and communication skills. Ability to express ideas assertively, clearly and concisely both verbally and in writing. Ability to exercise tact and diplomacy in dealing with others to secure necessary information and cooperation from a variety of people.

Preferred Qualifications

  • Bachelor's degree is preferred in a related field plus two years' experience providing administrative support, or an equivalent combination of education and experience.
  • Exercise authority to direct and motivate others.
  • Planning, problem-solving and critical thinking skills to anticipate avert or resolve issues of staffing, scheduling and task allocation.
  • Knowledge of personal mainframe computers, software tools, including but not limited to: word processing, spreadsheet, database development, and maintenance, Window, Excel, PowerPoint, Microsoft Outlook and other application packages specific to the health career environment.
  • Comprehensive knowledge of University academic personnel policies and procedures and ability to interpret them in a clear and logical manner. Knowledge of academic salary and benefits administration, including understanding of faculty payment processes to provide information, calculate leaves and problem-solve all areas including payroll.
  • Demonstrated knowledge of and experience using UCD/UCDHS payroll and personnel databases (i.e.UC Path, AggieService, Cognos, PeopleSoft, etc.
