General Description

The Assistant-Administrative will provide support to the Sr. Sales Director, Office Manager and Cost Controller, as well as to other departments as needed. They are primarily responsible for data entry and accounting support for the location.

Essential Duties and Responsibilities

  • Accurately log and receive all material deliveries to both plants.
  • Accurately log and receive all trucking invoices.
  • Process trucking invoices for the weekly payment run.
  • Process material invoices for the weekly payment run.
  • Process sales daily.
  • Run credit cards for payment on cash sales.
  • Invoice customers and respond to inquiries in a courteous and professional manner.
  • Ensure hired truckers are set up correctly in accounting system.
  • Assist in obtaining current certificates of insurance when required.
  • Assist with reconciling payments for FOB sales.
  • Provide accurate ship-to information to plant operators as needed.
  • Perform additional clerical duties including but not limited to filing, photocopying, faxing, maintenance of funds for postage machine & postage services
  • Assist Office Manager with routing and processing invoices for payment
  • Assist Office Manager with deposits as necessary
  • Provide back-up, in the absence of other office employees, with payroll, accounts payable and receivable, and hiring actions.
  • Assist Engineers with daily log entries and other projects as necessary
  • Additional duties assigned as needed

  • Reliable and Punctual;

  • Proficiency with Microsoft Office to include; Outlook, Word, Excel, PowerPoint & Teams;
  • Must be able to understand work directions and communicate effectively with supervisors and co-workers.

Education and Experience: This position typically is semi entry-level; however, it requires a minimum of three (3) or more years of previous experience in an office support role.

  • A high school diploma or general education degree (GED) is required
  • Must have strong customer service skills
  • Experience with SAP desired but not required
  • Previous experience in trucking/construction a plus

Physical Demands. The following physical demands are representative of those that must be met by an Office Clerk, to successfully perform the essential functions of this job.

  • Frequent ability to sit for prolonged periods of time;
  • Ability to drive a company vehicle for various recruiting events.
  • Frequent ability to talk and hear, both in person and by telephone;
  • Frequent ability to operate standard office equipment, using hand and arm dexterity;
  • Frequent ability to navigate through office environment, including periodic use of stairs and/or elevator, as needed;
  • Infrequent ability to lift general office documents and materials, up to 10 pounds;
  • Frequent vision abilities required by this job include close vision, distance vision, depth perception, color vision, and the ability to adjust focus.

Work Environment. The work environment characteristics described below are representative of those that an Office Clerk encounters while performing the essential functions of this job.

  • Work generally is performed in an office environment, although periodic visits to construction sites and manufacturing facilities may be required.
  • Noise level in the typical office work environment is quiet.

  • Assess work environment for possible hazards and makes sure training is adequate to the task.
