Job Summary:

In this role, you'll provide essential support through a variety of administrative and clerical tasks, including scheduling, calendar management, and coordination of daily operations. Your attention to detail and organizational skills will help ensure smooth and efficient workflows across the team.

Key Position Details:

This administrative position provides support for pharmacy across multiple locations:

  • Manage creation and communication of staff schedules across all pharmacy locations
  • Identify and communicate coverage of staff openings across all pharmacy locations
  • Attend and take minutes of meetings
  • Support pharmacy administration duties, such as government licenses and certificates, industry accreditations
  • Support and manage critical department communications and newletters
  • Maintain department Sharepoints and related files and repositories

Preferred Qualifications:

  • Pharmacy practice experience, such as pharmacy technician
  • Experience writing work schedules for multiple business locations
  • Knowledge of pharmacy/healthcare licensure application and renewal processes
  • Experience working in health system or multi-site business environment

Additional Information

  • 1.0 FTE (80 hours per two-week pay period)
  • 8-hour day shift
  • No weekends
  • Hybrid position - Must live in a commutable distance within the twin cities area in Minnesota

Job Description:

Performs department support through management of clerical duties, administrative tasks, scheduling, calendar management, and other department tasks. Maintains data bases and generate reports. May perform client scheduling and receptionist duties.

Principle Responsibilities

  • Performs clerical tasks.
    • Completes tasks such as typing, preparation of documents, mailing.
    • Answers phones and make client / business associate calls.
    • Maintains client records.
    • Performs billing tasks, and compile data.
    • Maintains databases and Excel spreadsheets.
    • Generates reports.
  • Provides department support.
    • May schedule patient / client visits.
    • May perform receptionist and check-in function.
    • May order supplies.
    • May coordinate meetings, conferences, presentations, travel arrangements.
    • May have responsibility for assigned projects.
    • May manage employee and leader schedules and calendars.
    • May write correspondence to internal customers, or to clients or business associates.
    • May manage provider schedules, expenses and / or education tracking.
    • May manage department timecards.
    • May manage department website.
  • Other duties as assigned.

Required Qualifications

  • Must be 18 years of age with education and/or experience needed to meet required functional competencies as listed on the job description
  • 2 to 5 years in administrative support or secretarial experience
  • 2 to 5 years in Microsoft Office functions and computer technology

Preferred Qualifications

  • High school diploma or GED
  • Associate's or Vocational degree in related field
  • 2 to 5 years in electronic medical record experience

Physical Demands

  • Light Work:
  • Lifting weight up to 20 lbs. occasionally, up to 10 lbs. frequently

Pay Range

Pay Range: $24.62 to $33.74 per hour The pay described reflects the base hiring pay range. Your starting rate would depend on a variety of factors including, but not limited to, your experience, education, and the union agreement (if applicable). Shift, weekend and/or other differentials may be available to increase your pay rate for certain shifts or work.
