Job Description
The Assistant Director of Simulation Administration and Business provides the administrative leadership necessary for the efficient execution of high-quality simulation events across all UMKC School of Medicine Campuses, including Kansas City and Saint Joseph, Missouri. This role ensures robust administrative and business processes are established for all CTF-managed events, educational exercises, and research endeavors. The Assistant Director collaborates with the Director(s) and Manager(s) of simulation to actualize the strategic plans of both the CTF and the School of Medicine, driving program expansion and coordinating center accreditation. Additionally, this position serves as the functional representative of the CTF for internal and external stakeholders utilizing the facility's services and space.

Management
The Assistant Director of Simulation Administration and Business reports directly to the Simulation Program Manager and directly supervises student assistants and the Asst. Director of the SP program within the simulation department.

Duties & Responsibilities

  • Administration & Leadership
    • Support implementation of the strategic plan: providing administrative support, data gathering for outcome monitoring, and reporting.
    • Serve as a primary liaison between the simulation enterprise and affiliates regarding simulation education needs.
    • Provide strategic input for short- and long-term plans regarding daily activities and global program offerings.
    • Manage simulation staff in accordance with the established reporting structure and perform support staff roles when necessary.
    • Track center usage via a survey database.
    • Serve as the American Heart Association (AHA) training site coordinator for the SOM simulation enterprise.
      • Schedule instructors for all BLS and ACLS AHA courses; ensure instructors meet minimum teaching requirements; coordinate and schedule new instructor training courses
      • Manage records and cards: Track learner AHA course details for certification card distribution. Communicate with AHA center for card ordering and distribution.
      • Monitor and report program quality and compliance.
      • Coordinate with CTF staff on scheduling, staffing, and equipment.
      • Facilitate instructor payment and monitor and report program finances.
    • Serve as the primary administrative lead for SAGES FES and FLS Courses:
    • Advise relevant committees on the center's administrative and financial processes.
    • Represent the School of Medicine at local, regional, and national simulation organizations and conferences.
  • Financial
    • Assist in developing, implementing, and updating the CTF business plan and annual budget to align daily costs with long-term strategic goals.
    • Draft event invoices for all simulation events to track expenditures by user group/program.
    • Determine optimal budget utilization and cost recovery strategies for new projects or educational offerings; this includes drafting pro-formas, as necessary.
    • Manage monthly budgeting, revenue payments, and procurement in accordance with approved financial timelines and categories.
    • Draft and maintain policies concerning purchasing, simulation funding, and contracts for internal and external facility use.
    • Serve as the primary contact for initiating service agreements, industry partnerships, facilitating payments, and executing fund transfers.
    • Supports the development and management of grants and other revenue-generating projects.
    • Generate comprehensive usage and financial reports to inform strategic planning.
    • Collaborate with the Simulation Operations Manager to execute purchases of necessary capital equipment.
  • Education and Research
    • Advise faculty, staff, and external users on scheduling and budgeting for new and existing simulation events.
    • Facilitate training and faculty and staff development regarding the use of simulation space and resources.
    • Support the logistical and administrative implementation of simulation-based research studies. This may include serving as a bridge between researcher(s) and simulation team to ensure success of research projects.
Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary

  • Three (3) or more years of experience working in a healthcare or healthcare-related setting. An equivalent combination of education and experience will be considered.
  • Masters in Business Administration or experiencing managing budgets and contracts.
  • Experience with the management and administration of projects.
  • Current or prior AHA BLS certification and experience coordinating or instructing AHA courses.

  • Strong leadership and interpersonal communication skills.
  • Exceptional organizational, time-management, and multitasking abilities.
  • High attention to detail and an efficient working style.
  • Flexibility, creativity, and a passion for improving operational infrastructure and processes.
  • Familiarity with operating audiovisual equipment.
  • Proficiency in email communication and Microsoft Office.
Anticipated Hiring Range

The anticipated hiring range for this position has been established as up to $60,000 annually.

Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
