Position Summary
The Executive Assistant to the CHRO serves as the administrative partner and provides executive-level administrative and organizational support that enables the Executive to lead effectively, both within the hospital and across the broader healthcare and professional community. The role is responsible for proactive calendar and time management, prioritization of a high volume of competing demands, and rapid, precise execution of executive-level administrative functions.
The Executive Assistant supports external facing work, including Board engagement, professional and industry commitments, and related travel. The position requires the ability to work independently and to handle highly confidential and sensitive business and employee information with discretion. Candidates should have strong written and verbal communication skills and the ability to create and edit correspondence, meeting notes, create and prepare material, and presentations at an executive level with professionalism, accuracy, and attention to detail. Key Responsibilities
  • Manage the Executive's calendar to ensure effective time management and prioritization of competing demands, applying independent judgment, knowledge of the organization, and an understanding of the Executive's needs and style.
  • Proactively manage meeting schedules with attention to timing, sequencing, and location or travel requirements; balance and plan daily, weekly, and monthly commitments.
  • Support the Executive's external professional commitments, including participation in national and regional HR and healthcare organizations, advisory groups, speaking engagements, conferences, and peer networks.
  • Arrange and manage domestic and occasional international travel, including transportation, lodging, itineraries, ground logistics, and contingency plans, in line with hospital travel policies and the Executive's preferences.
  • Prepare travel and meeting briefing materials, coordinate registrations and agendas, and manage travel-related expense reporting and reimbursements.
  • Maintain a working calendar of external obligations and deadlines and coordinate with the Executive's external contacts and their staff.
  • Support the Executive's business relationships with external parties, including vendors, consultants, and partner organizations.
  • Plan, prepare, and execute logistical and administrative requirements for executive meetings, interviews, seminars, conferences, external non-profit boards, and special events.
  • Draft emails, create and edit correspondence, prepare presentations, and develop other communications as directed, with professionalism, accuracy, and clarity.
  • Exercise judgment and discretion in handling incoming issues and requests, determining appropriate actions, responses, and escalation paths.
  • Directly and in partnership with other administrative staff, track expenses, administer the contract management process, ensure timely contract execution, process purchase orders and reimbursements, and track department budgets.
Qualifications
  • Associate's degree required; bachelor's degree strongly preferred.
  • Minimum of four years of experience as an Executive Assistant, including at least two years supporting a senior executive.
  • Demonstrated experience with complex calendar management and coordinating travel
  • Prior experience in a Human Resources department preferred
  • Proven ability to exercise discretion and sound judgment with confidential, sensitive, and privileged information.
  • Highly adaptable to new technologies and proficient in key administrative systems, including the Microsoft Office suite and PeopleSoft.
  • Ability to manage multiple priorities effectively in a fast-paced environment and to interact confidently with senior leaders, Board members, and external partners.

The posted pay range is Boston Children's reasonable and good-faith expectation for this pay at the time of posting.

Any base pay offer provided depends on skills, experience, education, certifications, and a variety of other job-related factors.
