Make a difference behind the scenes while supporting life-changing mental health services. Merakey is seeking a Program Administrative Assistant to join our team in Colmar, PA. This full-time, onsite position (37.5 hours per week) supports our Community-Based Mental Health Programs throughout Montgomery County, providing essential administrative, billing, compliance, and operational support that helps ensure quality services for the individuals and families we serve. Working Monday through Friday, 9:00 AM to 5:00 PM, you will play a key role in maintaining program efficiency by managing billing processes, tracking documentation and compliance requirements, supporting staff and leadership, and coordinating daily office operations. Billing & Financial Coordination: Process billing through the EHR; track member encounters for compliance; reconcile productivity reports with billable documentation; manage billing corrections, A/R issues, and unbilled reporting; attend A/R meetings and provide reporting support. Compliance & Documentation: Monitor treatment plan compliance; communicate insurance and guarantor changes; ensure timely completion of documentation and regulatory requirements; maintain accurate program data, reports, and spreadsheets. Administrative & Office Operations: Serve as the primary contact for building maintenance; coordinate team meetings; create staff ID badges; process purchase orders; manage office supplies and inventory; monitor phone calls and voicemail; maintain filing systems; provide general clerical support. Staff & Program Support: Work with staff to resolve missing documentation, billing corrections, and fiscal process issues; collaborate with the Program Assistant on building inspections, fire drills, and facility maintenance activities. Meetings & Professional Development: Attend department, agency, and team meetings; complete required annual trainings and other professional development activities; perform additional duties as assigned to support program operations.
