Operative Scheduling Rep

General Summary of Position
Schedules all elective surgical procedures. Participates in preparation of perioperative schedules and entry of data in the computer system. Ensures surgeons preferences and patients needs match available OR resources by accurate scheduling. Functions as a frontline point of contact for all physicians offices and patients at times. Exhibits customer service skills. Demonstrates critical thinking in initiating solutions to scheduling issues.

Primary Duties and Responsibilities

• Assists the Specialty Team Leaders in preference card maintenance.
• Assists with generating standard reports under direction of the Perioperative Information Systems Coordinator.
• Assists with ongoing communication and education processes for physicians office staff under the direction of MAS Leadership.
• Communicates appropriately to Patient Care Coordinator regarding prostheses and equipment necessary for specific cases.
• Communicates as necessary with special equipment representatives to ensure all necessary equipment needs are available for surgical cases (including availability of anesthesiologists) x-ray films and old charts before the schedule is duplicated and distributed. Exhibits competency in computer skills and use of equipment needed in perioperative scheduling process.
• Communicates effectively with physician(s) and physicians office staff and all customers to schedule surgical cases within the perioperative services.
• Contributes to the achievement of established department goals and objectives and adheres to department policies procedures quality standards and safety standards. Complies with governmental and accreditation regulations.
• Coordinates administrative details related to responsibilities of Clinical Director or Surgeons including planning preparing and compiling necessary information and materials for routine or special projects.
• Ensures the accurate and appropriate scheduling of all cases performed within surgical services. Responsible for the daily case schedule and communicates any needs for scheduling modification and development.
• Ensures the validity and efficiency of the schedule by careful checking of times procedures patients and physicians.
• Initiates and maintains ongoing communication with insurance company to determine eligibility of benefits deductible status and to obtain precertification for office-based and other procedures. Educates and informs patients and families regarding verification status and issues related to deductibles co-payments and balances.
• Maintains patient and associate privacy and confidentiality.
• Obtains and/or verifies complete demographic and insurance information from patient. Accurately enters data.
• Participates in meetings and on committees and represents the department in community outreach efforts.
• Participates in multi-disciplinary quality and service improvement teams.
• Performs other duties as assigned.
• Supports the establishment and execution of physician marketing strategies by providing efficient scheduling of cases and through excellent communication skills.
• Uses budgeted resources (personnel supplies and equipment) judiciously to ensure efficient and cost effective operation of the department.

Minimal Qualifications
Education

• High School Diploma or GED required
• Strong knowledge of medical terminology required

Experience

• Experience in an operating room or surgical office setting required

• Working knowledge of word processing and spreadsheet software applications.
