| Essential Job Duties |
The Retreat and Events Associate provides leadership and oversight for retreat and rental programs, special events, marketing, community outreach, and year-round operations at the Betsy Jeff Penn 4-H Educational Center. The role coordinates with staff, user groups, and community partners to ensure successful program delivery, facility operations, and positive participant experiences while supporting the Center's strategic goals, fundraising efforts, and
ACA accreditation.
Retreat Responsibilities Include:
- Oversee weekend rental and retreat groups throughout the calendar year
- Point of contact for the reservation and contract process with all rental and retreat groups
- Coordinate program planning prior to events, provide support during events, facilitate communications and program activities, and assist with post-program follow-up. On-site supervision will be rotated among camp leadership staff
- Oversee staff for facilitation of weekend programs when required
- Coordinate facility and equipment needs for group rental programs, including collaborating with Food Service and Maintenance supervisors to ensure facilities, equipment, and support services are prepared and maintained for user groups.
- Develop and implement marketing and recruitment plans and supporting materials for the group rental programs
- Collaborates closely with the Center's leadership team
- Provide administrative and operational support, including assistance with hiring, budgeting, fundraising, and facilities maintenance, as assigned by the Center Director
Special Events:
- Coordinate the planning and successful implementation of Betsy's Bash, a biennial fundraising event held at Betsy Jeff Penn
- Serve as the primary point of contact and on-site coordinator for the event, collaborating with the Center Director, facilities and program staff as needed
- Work with the Center's Advisory Council to plan, coordinate, and support event activities
Program Marketing, User Support, and Community Outreach:
- Develop and implement marketing and communication strategies to promote the Center's programs, events, rentals, and services and increase community engagement and participation.
- Maintain and support the growth of the Center's email marketing database and communications.
- Develop outreach and engagement strategies to strengthen relationships with alumni and community partners.
- Create and coordinate content for the Center's social media channels.
- Track and report program outcomes and assist with monitoring program activities within established budget parameters.
- Assist with the preparation, coordination, and attendance of Advisory Council meetings and related communications throughout the year.
Center and Program Support and Resource Development:
- Participate in rotating on-call coverage to support group rental programs during fall and spring.
- Collaborate with the Betsy Jeff Penn camp team on year-round Center operations.
- Support the development of age-appropriate programs aligned with 4-H, Cooperative Extension, and ACA guidelines.
- Support ACA accreditation by maintaining program standards and best practices.
- Assist and train Health Coordinators/Camp Nurse on summer camp health policies and procedures.
