Department Marketing Statement

Brief Summary of Job Duties

Campus Catering unit provides catering services for on-campus special events, summer conference catering, executive and housing department catering. The Campus Catering Supervisor is responsible for event preparation and supervision. Acts as onsite manager at events throughout the year. Core job responsibilities are Event Set-Up, Student Staff Management and Event Management. Responsible for adhering to budgeted labor costs while also ensuring the highest degree of excellence in service and meeting the client's needs.

Required Qualifications

Education:

  • Bachelor's Degree - or equivalent combination of education and experience

Work Experience:

  • 1-3 years demonstrated ability to organize and manage a variety of events while maintaining a high standard of excellence, including ability and willingness to prioritize and make necessary adjustments for last minute events.
  • Proven ability to train, schedule and supervise student staff.
  • Or equivalent combination of education and experience.

Job Functions and Percentages of Time:

Event Planning - 35%

  • Supervises catering services for events ranging from 10-5000 guests, from planning to execution of events.
  • Develops event sheets with service and equipment needs; reviews daily to accommodate changes to guest count, timing, dietary needs, or special requests.
  • Selects, designs, and creates decorative catering displays based on client's budget and requirements.
  • Oversees the delivery of event rental equipment, linens, flowers, etc.; ensures availability of required inventory.
  • Consults with Catering Chef in coordination of necessary serving and display equipment; creates the orders for disposable goods, cold beverages, and coffee.
  • Oversees beverage service arrangement; creates event beverage checklists; coordinates ordering and product delivery timelines.
  • Works with the Catering Manager to determine catering staffing needs based on event requirements prior to scheduling; determines the proper ratio of staff to guest to provide the best possible service while adhering to budgeted labor costs; ensures that student staff experience is matched to the event profile
  • Determines and schedules catering event transportation including: rental vehicles, staff transportation, food and equipment transportation.
  • Supervises the proper loading and transport of event items: service ware, decorative props, linen, flowers, beverages, staff uniforms, and hot and cold foods.

Student Staff Management - 30%

  • Supervises the duties of the Student staff in catering; supervises and supports high level service standards in all catering personnel.
  • Hires, trains, supervises, and evaluates Student Supervisory staff.
  • Assesses and provides feedback to catering Student staff regarding work performance through regular meetings and annual evaluations; identifies and cultivates potential future student supervisors; recommends promotions.
  • Oversees training for student personnel on customer service, safety, sanitation procedures, service standards, event set-ups, displays, use of equipment, and food presentation; trains in proper loading of equipment into vehicles and proper safety guidelines for driving on campus; develops and maintains up-to-date training manuals for student staff.
  • Works with the Catering Manager to determine the weekly staffing schedules for catering events based on staff availability and event needs. Reviews schedules to ensure proper ratio of staff to event size to provide the best possible service to the client.
  • Coordinates with other Campus Catering staff for large events.
  • Monitors student timecards and reviews labor reports for accuracy. Verifies Kronos Reports with event staffing reports to ensure accurate time and wages records and advises timekeepers to make corrections.
  • Supervises the cleaning, maintenance, and organization of all equipment, kitchen, offices, vehicles, and storeroom associated with Campus Catering.

Event Management - 35 %

  • Serves as one of the on-site catering managers for all high profile events. Executes all catering services contracted by the client including: staffing, event set-up, and the coordination of catering activities throughout the event.
  • Supervises service staff in all aspects of event including: set-up and breakdown of event sites (service buffets, bars, dining tables, decor, flowers, heating, off-site kitchen and tented production areas, etc.), guest service, truck loading and transport, and event clean-up at the catering kitchen.
  • Ensures all staff are properly dressed and ready for service when customers arrive.
  • Ensures the highest quality of food presentation and food safety standards during an event; ensures that safety and sanitation standards are being met in food handling and with equipment use in accordance with ServSafe guidelines.
  • Is the point of contact for clients at events and works with them to make last minute program or procedural changes.
  • Is responsible for building security and cleanliness after events including the Campus Dining production and storage facilities, vehicles, and other university buildings as required.
  • Utilizes various computer programs, including Excel, Word, E-mail, Cbord, and EventMaster to create schedules, prepare event proposals, process billing and invoices, maintain inventory, and prepare costing reports.
